Planning an event typically take a lot of time and money. If you are put in charge of planning and event you will want to make sure you have enough of both. Most events need to be planned three to six months in advance.

An event, whether you are putting it on for a, church, a company, or a school, will need to be budgeted well. Making a budget for the event before making any plans will first ensure that the organization is bringing in enough funds to have an event, and second help you in your planning to help your committee to know what limits they must stay within, thus helping them to plan accordingly. Most events will not come to an end without first presenting at least a few hidden costs. You will want to plan accordingly so there will be no surprises and nothing that has to be left out at the last minute because of lack of funds.


Once you have set a budget and have an idea of how small or large this event can be, you are going to need to choose a committee. The committee can be large or small depending on how much you need to delegate and how much responsibility each person is willing to handle. It is important when choosing a committee to already have each responsibility delegated so as to prevent confusion or double preparation for certain activities during the event.

Your committee is most likely going to need you to be a strong leader. You must have a clear idea in mind of what style, theme, or type of event this can be. When you meet with your committee you are going to want to be able to describe appropriately what the event will feel like so that you can all be on the same page and plan, purchase, and set up accordingly.

Probably most importantly will be your publicity plan. You will need to have enough people in charge of and willing to do publicity to bring out a sufficient number of people to the event to make the funds and time you are spending worth it.

With your publicity committee you will need to go over all available media and assign people to specific tasks and dates the tasks need to be performed. To do so is important because you need to make sure your guest are well aware before hand of when the event is to be held, where the event is to be held, the purpose of the event, and what is expected of them as guests.

You will also need to pick not only a date for the event but also a day of the week.

If it is to be a business, or an educational even, meant only for employees or members of the club sponsoring the event, it is best to choose to hold the event during the week. Weekends are typically a time spent with families so if the even is a social one, one held for church members, or simply a work party in which families are to be introduced, then holding the event on a weekend (when family members are more likely to attend) would be appropriate.

Following the much budgeting, planning, coordination, and publicity of the even you will want to evaluate the success of the event. Was it highly attended? Was the amount of publicity sufficient? Was your purpose for the event accomplished? Did each committee member successfully fulfill his or her role? The answers to these questions will not only help you in documenting this event and in holding and planning events to come, but it will also help you in thanking your committee members. It would be appropriate after the event to send out Thank You cards, possibly even pictures taken at the event, and express your gratitude to those who helped you see the event through.

With the appropriate budget, committee, planning, and publicity, any event can be a success.
